  1. Purpose

This Acceptable Use Policy (AUP) defines acceptable and prohibited uses of [Company Name]’s vehicles, communication systems, equipment, and digital resources. The purpose of this policy is to ensure the safe, lawful, and responsible use of company assets, protect company reputation, and maintain compliance with all applicable transportation and safety regulations.

  1. Acceptable Use

All users are expected to:

Use company vehicles and equipment solely for authorized business purposes.

Operate vehicles in compliance with all traffic laws, DOT regulations, and company safety policies.

Keep all equipment in good working condition and report malfunctions promptly.

Use company communication and IT systems professionally and respectfully.

Protect company data and customer information from unauthorized disclosure.

Maintain accurate and honest records, including logs, delivery documentation, and time entries.

  1. Prohibited Use

The following activities are strictly prohibited:

Using company vehicles or equipment for personal or unauthorized business.

Reckless or unsafe driving, including speeding, distracted driving, or operating under the influence of alcohol, drugs, or medication that impairs performance.

Tampering with GPS, telematics, or safety systems.

Unauthorized access, modification, or sharing of company data, including customer or routing information.

Using company communication tools to send harassing, discriminatory, or inappropriate content.

Bypassing or disabling safety devices (e.g., seatbelts, cameras, or monitoring systems).

Installing unapproved software or using company networks for illegal or unethical activities (e.g., hacking, piracy, or gambling).

  1. Monitoring and Enforcement

[EAD & ALE TRAVEL] reserves the right to monitor vehicle usage, location, communications, and system activity to ensure compliance.

Violations of this policy may result in disciplinary action, up to and including termination of employment or contract, and may also result in legal action if laws or regulations are violated.

  1. Data Privacy

Data collected from company systems (e.g., GPS tracking, dash cams) is used only for operational, safety, and compliance purposes.

All users must adhere to applicable data protection laws and confidentiality agreements.

  1. Acknowledgment

All employees and contractors must sign an acknowledgment indicating they have read, understood, and agree to comply with this Acceptable Use Policy.
